Client Services Agreement

This Client Services Agreement ("Agreement") outlines the process, shared responsibilities, and expectations for both parties as we begin this journey together. By submitting the Itinerary Research and Design Retainer ("Retainer"), You ("Client," "You," or "Your") confirm your understanding and acceptance of the terms outlined below.

Scope of Services

Evyssa Vacations specializes in creating personalized travel experiences. Our services include:

• Conducting in-depth destination research tailored to Your preferences.
• Designing a bespoke travel itinerary that reflects Your travel goals and interests.
• Coordinating accommodations, transportation, activities, and other travel components.
• Providing exclusive access to trusted suppliers known for excellent service.
• Offering ongoing support and guidance throughout the planning process.

Our focus is to deliver a seamless and stress-free travel planning experience. While booking and managing trip components may follow, these services are outside the scope of the Retainer.

Itinerary Research and Design Retainer

Purpose of the Retainer:

• The Retainer fee is a non-refundable payment that secures Our time, expertise, and resources to design Your custom itinerary.
• It allows us to dedicate focused attention to Your trip, ensuring a detailed and personalized travel plan.

What the Retainer Covers:

• Comprehensive research, quoting, and itinerary design for one specific itinerary.
• A reasonable number of revisions (up to 2) to ensure the itinerary meets Your expectations.

Non-Refundable Policy:

• As the Retainer reflects the significant effort and time allocated to Your project, it is non-refundable.

Validity of the Retainer:

• The Retainer is valid for a specified timeframe (7 business days unless previously agreed on a different time frame) during which You are expected to provide all necessary details and respond promptly to communications .
• If You fail to communicate or submit required information within the allocated timeframe, the Retainer will expire. Should You wish to resume planning at a later date, a new Retainer will be required.

To ensure a smooth planning process, You agree to:

• Communicate Promptly:
  • Share accurate traveler details, preferences, and required documents in a timely manner.
  • Respond to Our messages and provide feedback promptly.
• Provide Clear Feedback:
  • Be honest and transparent about Your needs, preferences, and budget.
  • Offer constructive feedback on proposed itineraries to help refine the plans.
• Engage in the Process:
  • Collaborate actively to ensure the itinerary reflects Your vision.

Our Responsibilities:

We commit to providing exceptional service by:

• Delivering Expertise:
  • Leveraging Our knowledge and network of trusted suppliers to create a high-quality, customized itinerary.
• Maintaining Timeliness:
  • Delivering an initial itinerary proposal within 14 business days after receiving all required information and the Retainer.
  • Offering timely updates and revisions during the process.
• Offering Support:
  • Ensuring open and transparent communication at every stage.
  • Being available to answer questions and provide guidance throughout the planning process.

How to Retain Our Services

To begin Your custom travel planning experience with Evyssa Vacations, please complete the following steps:

• Sign this Agreement:
  • Review and sign this Agreement to confirm your understanding and acceptance of the terms.
• Submit the Retainer:
  • Pay the Retainer fee to secure Our services and reserve time on Our calendar.
• Share Traveler and Trip Details:
  • Provide all relevant information, including travel dates, destinations, traveler preferences, and other trip-related details, within 5 business days of submitting the Retainer.
• Engage in the Process:
  • Actively participate by reviewing proposals, providing feedback, and collaborating with Us to refine and finalize.
